The short version

  • We collect the information you give us (like your name, phone number, email and the details we need to compare Medicare plans for you) and some basic information about how you use this website.
  • We use it to answer your questions, schedule and hold appointments, compare and enroll you in plans you choose, and send reminders. We never sell your personal information.
  • Your mobile phone number and your text-message consent are never shared with third parties or affiliates for marketing or promotional purposes.
  • You can stop texts by replying STOP, stop emails with the unsubscribe link, and change cookie choices any time from the Cookie Settings link in the footer.

1. Who we are

This website, medicareprepare.net, is operated by MedicarePrepare ("MedicarePrepare," "we," "us" or "our"), a licensed, independent insurance agency located at 8014 S Sheridan Rd, Tulsa, OK 74133. We help people understand Medicare and compare Medicare Advantage, Medicare Supplement, prescription drug and related insurance plans from the insurance companies we represent. This Privacy Policy explains what information we collect, how we use it, when we share it, and the choices you have.

We are not connected with or endorsed by the United States government or the federal Medicare program.

2. Information we collect

Information you give us

  • Contact details such as your name, mailing address, email address and phone number, when you fill out a form, book an appointment, sign up for our newsletter, call or text us, or join one of our events.
  • Medicare and plan details you choose to share so we can compare plans for you, such as your date of birth, ZIP code, current coverage, doctors, pharmacies, prescriptions and, if you decide to enroll in a plan, your Medicare number and the information the insurance company requires on its application.
  • Your communication preferences, including whether you agreed to receive text messages, emails or phone calls, and any Scope of Appointment you sign before a plan discussion.
  • Messages you send us by email, text, chat, voicemail or through our forms.

Information collected automatically

  • Device and usage information such as your IP address, browser type, device type, the pages you visit, the links you click, the page you came from, and the date and time of your visit.
  • Cookies and similar technologies, described in section 6 and in our Cookie Policy.
  • Call and message records. Calls with a licensed agent may be recorded, and we keep records of texts and emails exchanged with you, as required by the Centers for Medicare & Medicaid Services (CMS) and state insurance regulators.

Information from other sources

  • Insurance companies you apply with or are enrolled with (for example, the status of your application or your plan's effective date).
  • People who refer you to us, such as a family member, a referral partner or a community organization, when they share your contact details with your permission.
  • Publicly available sources and service providers that help us keep addresses and phone numbers accurate.

3. How we use your information

  • To respond to your questions and requests, and to schedule, confirm, remind you about and hold appointments.
  • To understand your needs, compare plans available in your area, and help you apply for and enroll in the coverage you choose.
  • To service your coverage after enrollment, such as answering plan questions, helping with claims or ID cards, and reviewing your plan each year.
  • To send you information you asked for, including our newsletter, Medicare tips, enrollment-period reminders and event invitations. You can opt out at any time.
  • To operate, secure and improve this website and our services, including analytics and troubleshooting.
  • To comply with the law and with CMS, carrier and state insurance requirements, including call recording, record retention and complaint handling.
  • To protect our rights and the rights and safety of our clients and staff, and to prevent fraud.

We do not use your personal information to make automated decisions that have legal or similarly significant effects on you.

4. Text messaging (SMS)

If you provide your mobile number and check the consent box on one of our forms, reply to a text from us, or otherwise ask us to text you, we may send you text messages such as appointment confirmations and reminders, replies to your questions, documents you request and account or service notices. If you separately opt in to marketing texts, we may also send occasional Medicare updates, enrollment-period reminders and event invitations. Consent to receive texts is not a condition of buying anything from us.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the categories of sharing described in this policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

5. When we share information

We do not sell your personal information, and we do not share it with anyone for their own marketing. We share information only in these situations:

  • Insurance companies. When you ask us to get a quote or submit an application, we share the information the insurance company needs to process it. Once you enroll, we exchange information with that company to service your coverage.
  • Service providers. Companies that help us run our business under contracts that limit how they can use your information, such as our customer relationship management and website platform, email and text-message delivery, appointment scheduling, phone and call-recording services, document e-signature and quoting tools.
  • Regulators and the law. We may share information with CMS, state insurance departments, courts or law enforcement when required by law, regulation, subpoena or a lawful request, or to protect our rights, our clients or the public.
  • Business changes. If our agency is sold, merged or reorganized, your information may transfer to the new owner, who must honor this policy.
  • With your direction. For example, when you ask us to speak with a family member or caregiver about your coverage.

Your mobile number and text-message consent are never included in any of the above for marketing or promotional purposes.

6. Cookies and tracking

We use cookies and similar technologies to keep the site working (for example, remembering your cookie choice and keeping forms and the appointment calendar secure), to understand which pages are helpful, and, only if you accept them, to measure our advertising. When you first visit, a bar at the bottom of the page lets you accept or decline non-essential cookies, and you can change your choice any time from the Cookie Settings link in the footer. 7. Your privacy choices

  • Text messages: reply STOP to any text, or call or email us.
  • Emails: use the unsubscribe link at the bottom of any marketing email, or contact us. We may still send service emails about an appointment or an application you asked for.
  • Phone calls: tell any agent, or call or email us, and we will add you to our internal do-not-call list.
  • Cookies: decline non-essential cookies with the Cookie Settings link in the footer, or adjust your browser settings.
  • Access, correction and deletion: you can ask to see the personal information we hold about you, correct it, or ask us to delete it. Email [email protected] or call (918) 420-9999. We will verify your identity before acting on a request, and we may need to keep certain records for as long as the law or our regulators require.
  • State privacy rights: if the state you live in gives you additional privacy rights, you can exercise them by contacting us the same way. We do not sell personal information, and we do not discriminate against anyone for exercising a privacy right.

8. How long we keep information

We keep your information for as long as we work with you and for as long as the law and our regulators require afterward. For example, CMS requires third-party marketing organizations to keep records of Scope of Appointment forms and recordings of sales and marketing calls for several years. When information is no longer needed, we delete it or make it anonymous.

9. How we protect information

We use reasonable administrative, technical and physical safeguards to protect your information, including encrypted connections (HTTPS) on this website, access controls, and contracts with our service providers. No method of transmission or storage is completely secure, so please do not send your Medicare number or other sensitive details through an unsecured channel unless we ask you to.

10. Children

This website and our services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a child has given us information, please contact us and we will delete it.

We link to other websites, such as Medicare.gov, the Social Security Administration and insurance company sites. Their privacy practices are their own, and we encourage you to read their policies.

12. Changes to this policy

We may update this policy from time to time. The effective date at the top tells you when it last changed. If we make a significant change, we will post a notice on this website or contact you directly.
